The hourly rate is $16.00.

Position Summary:
The Administrative Assistant provides administrative, accounting and organizational support to the museum team and assists the Director with budget management and grant reporting. S/he plans and coordinates special events for the museum and liaises with other Rollins departments (Finance, Events Management, Facilities) and the Board of Visitors.

Essential Responsibilities include:
Provides general administrative support for the department, working collaboratively with all members of the team.
Provides accounting support (pays invoices; reconciles budget for funds overseen by museum, including processing of reallocations; assists director in compiling budgets and reports).
Plans and coordinates special events for the museum; works collaboratively with the Donor and Guest Relations Liaison and the Director of Development for member and donor events; liaises with Events Management.
Makes arrangements for visiting scholars and artists (contracts, accommodations, reimbursements, etc.).
Assists with PR and marketing efforts.
Provides support for the Board of Visitors, including scheduling meetings; ongoing communication; taking minutes at board and committee meetings; etc.
Assists the Bruce A. Beal Director with preparation and submission of annual grant proposals and board reports.
Fills in for Visitor Services at the front desk for breaks.

Minimum Qualifications:
High school diploma.
At least 1 year of experience in an administrative capacity and/or customer service.
Strong organizational and time-management skills.
Strong communication skills, both oral and written.
Superior customer service skills.
Ability to work in a team as well as independently.
Sense of teamwork and readiness to be flexible and take on new tasks; proactive and able to multi-task.

Preferred Qualifications:
College degree.
Familiarity of financial spreadsheets and the budgeting process.
Familiarity with a small institution environment.

Work Schedule:
The Administrative Assistant is scheduled to work 7.5 hours/day, 37.5 hours per week. The schedule for this role is:

Monday - Friday, 8:30am to 5:00pm (with a 1 hour paid lunch)
*Overtime, special events and weekends may be required as needed.

Work Environment:
Front-facing customer service role on-campus, office environment.
Work requires visual strain and use of computer.
