Assistant Controller
The Business Services Office at Whittier College seeks an Assistant Controller. The Assistant Controller performs original work and supervision of critical accounting functions described in position duties and responsibilities. Provides support and backup to the Associate Vice President of Business Services and Controller. Maintains the accuracy and integrity of subledger systems, cash and liquidity resources and the college's statement of financial position. Interacts with the President's Cabinet and Board of Trustees Investment Committee and demonstrates leadership towards success of the college.

Hours: Monday - Friday, 40 hours per week
Exempt Status: Exempt
Full Time/Part Time status: Full Time
Salary Range: $75,000-$89,000; Salary will commensurate with experience, skills, and knowledge.

Reports to: Associate Vice President of Business Services & Controller

Location/Department: Whittier College (Main Campus)/Business Services

Responsibilities:
Administrative
Supervise activities in areas of responsibility - Accounts payable and accounting staff
Hire, train, develop staff; develop training program as appropriate
Provide timely and positive feedback to staff to enhance development

General Ledger Review
Review general ledger designated funds on a regular basis for compliance with policies and procedures
Resolve departures from policies and procedures with appropriate budget manager

Accounts Payable
Timely, accurate processing of vendor payments
Maintain records in accordance with policies and regulatory requirements
Complete compliance reporting including but not limited to - sales tax, IRS1099s, IRS 990/990T,escheat

Endowment and Investments
Process gifts, investment activity, distributions monthly in subledger
Establish monthly market values
Prepare recording to general ledger
Reconcile subledger to general ledger and advancement subledger
Recalculate investment management fees invoices, authorize for payment
Process Stock gifts
Process GAAP accounting for pledges

Deferred gifts
Coordinate with Advancement and third-party administrator to maintain deferred gifts in accordance with trust or annuity agreements and requirements
Review administrator reports for accuracy and prepare recording to general ledger
File tax and regulatory reports as necessary

Liquidity
Forecast operating cash flows and reports to AVP and VP
Maintain account balances and maximize returns within liquidity policy
Draw federal and state financial aid funds, coordinate with financial aid and grants administrator as necessary to ensure timely processing of transactions
Assists Controller and college departments with wire transfer and ACH activity

Maintain schedule of account reconciliation frequency
Reconcile all balance sheet accounts

Staff Investment Committee with Vice President
Carry out investment purchases and liquidations and prepare recording to general ledger including opening and closing investment manager and custody accounts, preparing limited partnership applications, transferring funds, preparing recording journals

Debt and Swaps
Keep a record of the swap rates
Confirm the amounts invoiced from Morgan Stanly and SGB (swap counterparties)

Escheat
Perform required diligence to make attempts to contact owners of stale dated checks and unclaimed credits on accounts receivable ledgers.
Complete reporting and remittance of unclaimed property to State Controller's Office.

Treasury and Banking
Process stop payments, confirm if a check has cleared or not
Set up payment for Retirement contributions
Upload ACH files and Positive Pay files for both A/P and Payroll
Set up domestic and international wire transfers

Other
Participate in annual audit preparation
Other duties as assigned

Position Specifications and Requirements:
Previous Experience: 3 to 5 years of relevant accounting and administrative experience

Knowledge and Education: Bachelor Degree in Business with Accounting or Finance specialization. Sound knowledge of generally accepted accounting principles and methods. Good communications and problem solving skills; develops and enforces policies and procedures; meets deadlines; high attention to detail; understanding of accounting controls. Advanced skills with Excel, capable with Word; some knowledge of MS Access and databases.

Machines, Tools, Equipment, Electronic Devices and Software: computer, 10-key calculator, Excel, Word, Banner, Power Point, knowledgeable about internet and on-line access and work

License(s) and Certificate(s): Certified public accounting and other specialization certificates relevant to position description cate for Cash Management and/or Investment Planning highly desirable
