Assistant Director of Enrollment Operations, Slate/Systems Administrator

Job Summary:

The Assistant Director of Enrollment Operations/Systems Administrator's role is to maximize the university's systems and business processes, including lead generation, application nurturing and yield efforts to support the university's ability to achieve its enrollment goals. This includes the continued build and maintenance of the newly implemented Slate system throughout the admission cycle, as well as assistance with system integrations including Workday, SalesForce and PowerFAIds.

This role, in partnership with the Graduate Admission Team and IT, will advance an analytics-driven approach to guide admission, financial aid and marketing and communication initiatives and ensure the accurate, consistent seamless flow of data to support critical business objectives.

Responsibilities:
  • Hold primary responsibility, in partnership with Enrollment and IT, for the platform on which the university manages inquiry and application records in order to enroll nearly 2,000 graduate students each year;
  • Maximize Slate functionality in the use of admission and marketing business processes;
  • Collaborate with Admission and Enrollment Management leadership to continuously develop and implement admissions workflow improvements and enhancements in the Slate platform;
  • Partner with IT on the implementation of system changes, integration needs and reporting analytics;
  • Design processes, develop reports, and provide analysis and functional requirements to utilize business intelligence for continuous improvement of admission business processes during the stages of lead generation, application cultivation and yield activities;
  • Establish policies and procedures in partnership with IT to ensure accuracy, consistency and reliability regarding data, its effective use and reporting;
  • Monitor data integrity of prospect and applicant records;
  • In partnership with IT, implement new features, or updating existing ones, to maximize the effectiveness of the Simmons's Slate instance and other enrollment technology;
  • Provide training for new and current systems users;
  • Maintain user and business process procedures and guidelines;
  • Ensure the effective functionality of all admission decision processes within Slate.
  • Lead the operational management of all aspects and components of Slate such as Slate page layouts, record types, portal management, admissions rounds and workflows, and aligning them with changes in admissions programs, procedures and workflows.


Qualifications:
  • Bachelor's degree or equivalent work experience required;
  • Three years of professional experience working in college admissions or a related service setting;
  • Two years of experience as a CRM user or super-user;
  • Two years of experience working with relational databases in administering or operating an admissions CRM;
  • Experience leading teams to collaborate effectively and deliver results;
  • Experience creating successful and positive collaborations with multiple stakeholders when there are competing priorities;
  • Experience using data and data practices to create solutions that are rooted in best practice;
  • Experience firmly communicating policies or practices where the format and content are easy for colleagues to adopt and implement;
  • Experience working in an environment where analysis of results drives rapid change to goals and system adjustments.


Preferred Qualifications:
  • Two years of experience with Slate CRM system management and customizations, and experience building on-line forms, process builders and data integrations;
  • Two years of experience implementing best practices for Admissions CRM users, including system documentation, user training, data integrity and integration between systems;
  • Strong analytical capabilities and ability to use data for ongoing operational effectiveness;
  • Understanding of enrollment management processes data architecture and compliance relevant to higher education regarding data usage;
  • Two years of supervisory experience and management of cross-functional project teams;
  • Experience creating a variety of reports, proposals and training documents.
