JOB DESCRIPTION SUMMARY
Under the direction of the Director of Financial Aid, the Associate Director of Financial Aid (Compliance and Training) oversees major functional areas in a highly automated Financial Aid Office. The Associate Director provides direction, planning, and coordination over key compliance and technical areas of the financial aid operation. This includes, but not limited to, program oversight of SAP (satisfactory academic progress), R2T4 (return of title IV funds), athletic aid, TEACH/Pell grants, graduate financial aid process and technical support, and training support for the Student Financial Services Center. The Associate Director processes financial aid eligibility and awards, advises students, represents the Department in administrative and public venues, and has a key role in decision-making and policy development as it relates to federal and state aid compliance as well as institutional policy and procedures.

ESSENTIAL FUNCTIONS AND DUTIES
  • Review and maintain financial aid policies and procedures on a recurrently scheduled basis to ensure compliance with regulation and update according to new policy releases. Maintain office policy and procedures manual by working with all team members to keep all sections up to date.
  • Work together with the Student Accounts team to ensure Financial Aid participation in student support initiatives and to assist with retention efforts.
  • Assist students/families in all aspects of the financial aid process by delivering accurate information in a polite and professional manner, including financial aid interviews, on campus appointments, and inquiries from prospective and continuing students and their families.
  • Provide leadership and direction to the financial aid team; set short- and long-term goals for the team and motivate staff to achieve them.
  • Direct a comprehensive training and professional development program for all financial aid employees (department-wide scope). This includes developing, implementing, and evaluating all training and professional development activities for new hires, continuing employees, and student employees across the office.
  • Oversee operations/processing of student financial aid applications, corrections, and awarding, emphasizing student access and success. Train and support a team of assistant directors and administrative staff, who assist with processing functions and serve as the first point of contact for student and parent inquiries. Collaborate with the assistant directors for counseling to ensure alignment and effectiveness.
  • Create, implement, and regularly evaluate a proactive, strategic communication plan (including written, electronic, phone, and web) to enhance student experience and awareness, and also to manage workflow and processing effectiveness. Collaborate with other campus stakeholders where appropriate.
  • Maintain a detailed understanding of federal, state, and institutional financial aid regulations. Lead office efforts toward compliance, accuracy, efficiency, and exceptional student service. Regularly evaluate office procedures, identify problems, and develop solutions. Serve as the office compliance expert (department-wide scope), regularly evaluating and interpreting complex and constantly-changing Title IV requirements and regulations.
  • Serve as a key member of the Office Leadership Team, with specific responsibility for compliance and training. Actively contribute to office and staff growth and development, and act as lead for aspects of department operations, processing, and customer service in the absence of the director. Represent the Financial Aid Office at state, regional, and national conferences and training events.
  • Conduct internal audits data loads, compliance (SAP, R2T4), private and institutional loans, private scholarships, athletic aid compliance, customer service
  • Conduct internal audits for all Financial Aid Automic scheduler jobs and processes. Ensure compliance with applicable federal, state, and other financial aid program regulations and institutional policies.
  • Collaborate with the Associate Director of Systems, Compliance, and Data Security on testing and installation timing of all Ellucian Banner Financial Aid releases.
  • Manage the R2T4 review process for the office and perform quality assurance checks for R2T4 calculations performed by the Assistant Director of Financial Aid; supports the Director of Financial Aid during internal and external audits.
  • Manage the SAP review process for the office and perform quality assurance checks for SAP appeal reviews completed by the Assistant Director of Financial Aid; supports the Director of Financial Aid during internal and external audits.


  • Oversee Pell and TEACH grant awarding and reconciliation. Collaborates with Associate Director of Systems and Compliance to ensure processes are automated when possible.
  • Provides support in the day-to-day operations of student financial aid services that includes administering a very large financial aid program while ensuring compliance and technical support with all funding source requirements.
  • Formulates, implements, reviews, and evaluates policies, procedures and standards to ensure departmental compliance with required consumer information and third party financial aid resources
  • Athletic Office liaison - awards and provides early needs analysis information to coaches on recruited athletes following all Federal, State, Institutional and NCAA Guidelines
  • Evaluate aid applications invoking professional judgment in special circumstances, meet with students and parents to review financial aid eligibility and planning.
  • Performs special projects and other duties as assigned.


REQUIREMENTS

The person selected will have the following qualifications:

Minimum Required Qualifications:
  • Bachelor's degree. (Fifteen years of relevant experience may be substituted for required education)
  • Five or more years' experience in financial aid administration in a comprehensive university or college environment with a demonstrated progression of managerial responsibility.
  • 3-5 years of Title IV reconciliation and compliance
  • Working knowledge of Microsoft Office, Banner otr other financial aid software
  • Thorough knowledge of federal and state regulations pertaining to financial aid.
  • Demonstrated in-depth knowledge of federal, state and institutional financial aid programs, to ensure compliance with policies, legislations and regulations.
  • Ability to work with a diverse student/staff population engage in conflict resolution, coordination of interdepartmental projects, deal with outside agencies and auditors.
  • Knowledge of operational processes and procedures, work and task flow for area to support the processing team when needed.
  • Knowledge of federal, state and institutional financial aid.
  • Possess a comprehensive knowledge of Banner integrated student information systems.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner verbally and in writing.
  • Ability to work with a high level of productivity and accuracy/attention to detail.
  • Excellent organizational and time management skills.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Ability to adapt to and work effectively in a heavily bureaucratic environment which requires regular interaction with a number of levels within the organization.
  • Working knowledge, or ability to quickly learn, university infrastructure, policies, and procedures.
