Position Summary
(Classified as: Student Services Professional II)

Full-time temporary position available on or after May 2, 2022 and ending on or before May 1, 2023 in Financial Aid. Appointment will be made for one year from date of hire with the possibility of reappointment based on budget, department needs, and job performance.

Under the direction of the Interim Assistant Director of Financial Aid and Scholarships, the incumbent works independently to administer and coordinate the Federal and State financial aid programs, advise and counsel students on financial aid programs, handles Athletic awarding, review and update the website, and coordinates Financial Aid Workshops with Campus and Community Partners.

Job Duties
Duties include but are not limited to:
  • Advisor/Counseling: As a financial aid counselor, meets with students, prospective students, Essential parents, and community groups to provide information on available funds, eligibility criteria, and application procedures. Conduct individual counseling sessions for students and/or parents in person, via e-mail, or by phone. Revise existing awards to reflect changes in eligibility or allowable budget adjustments. Exercise professional judgment in adjusting a student's application to accommodate documented, qualifying special circumstances. Serve on Financial Aid Satisfactory Academic Progress appeal committee. Review the financial aid recipient's academic progress at the end of each academic term. Meet with students and explain academic progress policies, strategies for improvement, and appeal procedures.
  • Need Analysis: Perform Need Analysis on completed applications to determine whether a need exists according to methodology as established by the federal government. Apply knowledge of federal, state, and campus guidelines as they apply to packaging and awarding policies. Perform Verification of need analysis and documentation in applicant files prior to awarding student. Re-evaluate and adjust awards for eligibility and enrollment changes. Evaluate appeals and decide whether we can adjust the award.
  • FATV/ChatBot/Website: Ensures that FATV and ChatBot are implemented and running smoothly. Conducts review of videos to ensure they are accurate and are embedded on the correct web pages. Reviews ChatBot responses to ensure they are accurate. Conducts weekly review of ChatBot conversations to ensure quality control. Creates additional questions/answers based on ChatBot I don't know issues. Reviews and maintains the website.
  • Financial Aid Outreach, Transfer Center, and Stockton Campus: Coordinates Financial Aid Outreach workshops for the Stockton Campus and the WOW program. Works with the Admissions Counselors to ensure WOW students have access to financial aid. Works directly with the Stockton campus to serve current and prospective students. Advises, awards, and guides students on various financial aid programs and eligibility processes. Works closely with the transfer center to ensure financial aid information is provided to incoming and prospective transfer students.
  • Represents the Financial Aid and Scholarship Office at events.
  • Coordinates Athletic Aid: reviews athletic aid requests and issues letters and aid agreements. Reviews agreements and awards funds. Coordinates athletic aid with Financial Aid. Acts as a liaison with athletics - leadership, coaches, and students. Handles all athletics reporting and consumer information requirements.
  • Other duties as assigned.

    Minimum Qualifications
    Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. (Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities may be substituted for the required education on a year-for-year basis.)

    Experience: Equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. (A master's degree in a job-related field may be substituted for one year of the professional experience.)

    Preferred Qualifications

  • 2 years of financial aid awarding experience.
  • Experience with NCAA.
  • Bilingual/fluency in Spanish.
  • Experience with PeopleSoft.

    Knowledge, Skills, Abilities

  • Working knowledge of the practices, procedures and activities of the program to which assigned.
  • General knowledge of the methods and problems of organizational and program management.
  • General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations.
  • Ability to use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements.
  • Ability to obtain factual and interpretive information through interviews.
  • Ability to reason logically; ability to collect, compile, analyze and evaluate data and make verbal or written presentation based on these data.
  • Ability to advise students individually and in groups on routine matters where required;
  • Ability to recognize multicultural, multi-sexed and multi-aged value systems and work accordingly.
  • Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts.
  • Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
  • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas.

    Special Conditions

    Salary Range
    Anticipated salary will be $4,304 - $4,734 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Student Services Professional II range: $4,304 - $6,120 per month)
