Position Summary

Under the direction of the Associate Director of Fiscal Operations, or designee, the incumbent works with a high degree of independence and has responsibility for processing critical and time-sensitive financial and human resource transactions in the areas of payroll, timekeeping, billings, deposits, and fiscal reporting.

The incumbent ensures that pay memos are administered within CCE in a timely manner and through University financial units, such as University Payroll Services and Disbursement Services. The incumbent will process payments for service providers and must be knowledgeable of the difference between an independent contractor and an employee. The incumbent must maintain open and consistent communication with internal and external CCE customers, as well as with the staff in the University units involved in the payroll process. The incumbent must adhere to the University Payroll office due dates and insure timekeeping compliance for up to 160 CCE employees.

Additionally, the incumbent must complete daily registration and other fee revenue deposit processing and transmittal to the University Cashier's Office for timely recording in CCE financial accounts and ensure timely processing of billings, which is critical to maintaining a positive cash balance.

FLSA: Non-Exempt

CSU Classification Salary Range: $3,352 - $5,569

Hiring Range: $3,352 - $4,000

Salary Grade/Range: 1035-COORDINATOR II-Grade-2

Department Information

The College of Continuing Education (CCE) has been offering workshops, courses, certificates, and degrees to adult learners since 1951. The Financial Services unit within CCE offers a variety of fiscal related services including processing pay for instructors, coordinators, and facilitators; reviewing employee timekeeping; purchasing goods and services; and processing travel requests and reimbursements.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through high school program, technical/vocational program or their equivalents combined with several years of related office work experience.

1. Experience applying the methods, practices and procedures of financial recordkeeping.

KNOWLEDGE, SKILLS, ABILITIES
2. Knowledge of policies and procedures related to payroll, timekeeping, and accounts receivable.
3. Ability to apply a wide variety of policies and procedures where specific guidelines may not exist.
4. Working knowledge of budget policies and procedures.
5. Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
6. Ability to draft and compose correspondence and standard reports.
7. Interpersonal skills to interact effectively with all levels of staff and external constituencies.
8. Broad depth of customer service experience.
9. Effective communication skills (written and verbal).
10. Ability to work independently; possess self-direction skills to be able to proactively organize work; set priorities; anticipate setbacks; resolve conflicts; and follow through on the position responsibilities.
11. Team Orientated.
12. Organizational and time management skills to prioritize and multi-task, meet goals and deadlines.

CONDITION OF EMPLOYMENT

13. Experience working in a higher education environment.
14. Experience working with accounts payable & receivable, procurement, and travel.
15. Knowledge of expertise in using CSU software applications such as Common Management System (CMS), Continuity Spectrum (C2K), Common Financial System (CFS), CashNet.
