    Responsible for assisting the Assistant Controller with various, multi-state tax filings and registrations related to Income and Sales Tax, and financial monitoring and reporting on specially-funded programs, including financial aid. This position will be responsible for performing analyses of revenue and expenditures, budget monitoring, and the documentation and monitoring of internal controls related to tax filings and grant activities.

    This position is currently remote but starting October 4, 2021 will be returning to the Irvine office.

    TYPE OF SUPERVISION:

    Receive general direction from the Assistant Controller.
    • General Supervision indicates that the incumbent performs a variety of duties; some of which may be complex duties within established policy guidelines; and receives occasional supervision.


    POSITION DUTIES AND RESPONSIBILITIES:

    ESSENTIAL FUNCTIONS:

    Percentage
    • Coordinate and assist with the preparation, filing and tracking of multi-state business registrations and income and sales tax reporting for the university.

    • Assist with the preparation of and application for grant funding; develop and prepare the annual preliminary budgets for assigned special programs; monitor and control budget expenditures; prepare and maintain detailed and comprehensive reports, records, and files regarding special programs, ensuring all grant expenditures are reasonable, allocable and allowable according to federal, state, and agency regulations and guidelines.

    • Oversee the financial transactions of the Federal Student Financial Aid Program; monitors the cash balance for the Federal Aid Program and coordinates financial aid draws through G5; assures compliance with program laws, regulations, guidelines and contractual requirements; reconciles revenues, expenditures and year-end closing of programs.

    • Create, design and implement processes and procedures related to grant management and proposal development; keep records of grants; track university resources allocated to grants; provide mechanisms for audit verification and reconciliation.

    POSITION SPECIFICATIONS AND REQUIREMENTS:

    EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES:
    • Bachelor's Degree in Accounting or closely-related field, or equivalent work experience is required.
    • A minimum of four year's accounting experience with increasing responsibilities is required.
    • Experience in Higher Education accounting or financial functions is preferred.


    ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:
    • Understanding of GAAP as it relates to accrual-based accounting is required.
    • Experience with Banner, Workday or other similar enterprise resource system is preferred.

    SPECIAL REQUIREMENTS:

    Working conditions are normal for an office environment. Position may be required to work flexible hours particularly given campuses' extended hours of operation and may require occasional weekend and/or evening work.
