Job Summary

The School of Nursing at Columbus State University has an opening for an Academic Support Assistant - Online Graduate Programs. This position functions independently within guidelines & policies to initiate, plan, implement and document activities that support the online graduate faculty, students, and programs. This position requires initiative as well as independent judgment and problem solving within departmental policies and general instructions from faculty members. This position reports to the Assistant Director of Graduate Programs. The Academic Support Assistant of Online Graduate Learning collaborates with the Assistant Director of the Graduate Nursing Program and the MSN and FNP Program Coordinators to meet graduate student and faculty needs. The position requires collaboration with the university's state authorization officer, the SON Clinical Placement Coordinator, and the SON Graduate Student Services Coordinator to ensure that online students have the appropriate licensure for clinical settings.

Responsibilities

The position duties/responsibilities will include but not be limited to:
  • Follow outlined process each semester in reviewing, recording, reporting, and monitoring of graduate students applying for and currently enrolled in graduate online programs of study each semester.
  • Provide administrative assistant support to the program directors and coordinators, faculty, and advisors for the MSN and FNP online programs in the SON.
  • Verify and document MSN/FNP applicants' and current students' license information and state of residence and practice each semester. Report any issues that could impede placement in that state to university state authorization officer. Maintain documentation of each state authorization notification determined by the SON'S Clinical Placement Coordinator or during application process.
  • Maintain accurate and current spreadsheets for clinical settings, state authorization, licensure status and any other student issues pertinent to clinical or class placement.
  • Complete information using the Typhon System used for FNP clinical courses. Responsibilities include building preceptor and site information in this system. Prepare evaluations each semester by student,preceptor, site, and faculty. At the end of each semester, download results for faculty to review for grading purposes.
  • Create and maintain virtual files for online nursing students in the graduate portals daily.
  • Meet expected deadline notification of one month prior to the start of each semester in monitoring and reporting to university state authorization when online students are in an unauthorized state.
  • Communicate via email with students in states with reporting requirements and support students via email or phone regarding questions and information required.
  • Assist Clinical Coordinator with preceptor/site documentation uploaded by students each semester.
  • Answer and screen phone inquiries in a professional and courteous manner regarding MSN or FNP programs or direct callers to appropriate person.
  • Collect data required for national accreditation for Graduate Part-Time and Full-Time Faculty and online graduate nursing students.
  • Coordinate with Section Data Entry for all online nursing graduate programs.
  • Arrange meeting facilities and catering as needed for online faculty meetings/student functions.
  • Prepare needed documents for online faculty, staff, and for scheduled meetings.
  • Record minutes; prepare minutes for distribution to online faculty for all graduate meetings.
  • Maintain & distribute booklist for courses and share on Resource page with faculty and the CSU Bookstore.
  • Modify and upload information as necessary to the SON website for programs.
  • Prepare documentation and upload information for the Georgia Preceptor Tax Incentive Program.
  • Develop student self-evaluations in Qualtrics for each course and section each semester. Provide the results to faculty each semester for end of course reports for accreditation needs.
  • Assist with coordination of recruitment materials and attend recruitment events as a representative of the SON.
  • Coordinate and assist with administration of standardized testing in the FNP program.
  • Other duties as assigned by the Director of Nursing or Assistant Director of the Graduate Program.


Required Qualifications

Minimum qualifications include a High School diploma and minimum of three years' applicable administrative experience, or an equivalent combination of education and experience. The successful candidate will have knowledge of the English language and use of standard spelling, grammar, sentence structure and written communication; knowledge and proficient skills in computers, internet and software programs commonly used by the university and SON including MS Word and MS Excel; the ability to multitask and meet challenging deadlines while remaining organized and flexible; verbal, written and electronic communication and customer service skills; the ability to maintain a calm demeanor in difficult situations; knowledge and skill in conflict resolution and problem solving; the ability to collect and electronically record various forms of data in an organized manner for analysis; the ability to independently follow-up on activities to ensure timely completion; and the ability to organize multiple projects and activities that are simultaneously ongoing.

Preferred Qualifications

An Associate's degree and previous administrative experience is preferred.

Proposed Salary

The annualized salary range for this position is $32,868 - $35,852 and includes full benefits.
