Position Summary
(Classified as: Administrative Analyst/Specialist, Non Exempt, Range 1)

Full-time position available on or after July 1, 2022 in Admissions and Outreach Services.

Under the general direction of the Interim Director, Admissions and Outreach Services (AOS), this position will maintain the communication plan for prospective and applicant students. Maintenance includes, copywriting and creating persuasive content for marketing, queuing emails, and reviewing communication results. The incumbent will collaborate on creative brainstorming and planning. In addition, this position will maintain the enrollment management data system for prospective students, including importing, exporting, updating and purging data from several data sources.

Job Duties
Duties include but are not limited to:
  • Maintain and implement the communication plan for prospective and applicant students.
  • Use excellent written communication and visual design skills to create persuasive outreach presentations and other marketing pieces to increase prospect pool and yield.
  • Collaborate on creative brainstorming and planning of communication plan and other marketing. Create accurate email targets for prospective and applicant students.
  • Manage student data which contains information on prospective, applicant, and current students.
  • Import, export, update, format, and purge student records as required, ensuring data integrity at all times.
  • Create user accounts and train new users. Provide enrollment reports, run and update queries.
  • Manage mailings for applicants. Including downloading, importing, and printing admission letters, troubleshooting issues, and ensuring inventory is available to complete mailing jobs.
  • Provide administrative and technical support for AOS events and mailing modules, specifically managing registration set up, creating event templates and communication plan.
  • Create inquiry and appeal forms, and automate corresponding communications.
  • Other duties as assigned.

    Minimum Qualifications
    Education: Education: Bachelor's degree and/or equivalent training OR a combination of education and experience which provides the required knowledge and abilities.
    Experience: Experience: Minimum of two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

    Preferred Qualifications

  • Demonstrated experience using CRM software and web-based data applications.
  • Experience producing reports and running queries through reporting software.
  • Excellent written communication and thorough knowledge of English grammar, punctuation, and word usage.
  • Must be able to work with confidential information.
  • Demonstrated experience collaborating on creative brainstorming and planning.
  • Ability to take initiative and problem solve.
  • Experience and/or training in design/graphic art.

    Knowledge, Skills, Abilities

  • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
  • Working knowledge of general practices, program, and/or administrative specialty.
  • Basic knowledge of and ability to apply fundamental concepts.
  • Working knowledge of budget policies and procedures.
  • Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Ability to organize and plan work and projects including handling multiple priorities.
  • Ability to make independent decisions and exercise sound judgment.
  • Ability to compile, write, and present reports related to program or administrative specialty.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.

    Salary Range
    Anticipated salary will be $3,288 - $3,781 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Admin Analyst/Spclst, Non-Exempt range: $3,288 - $6,347 per month)
