Department Summary
The Department of Physics is an instructional and research department within the College of Arts and Sciences (CAS) that supports research activities in a wide range of fields in the Physics discipline. The Department includes approximately 35 teaching faculty, emeritus faculty, research staff, graduate students and professional/administrative staff. The department enrolls approximately 2,000 students per term, with approximately 200 undergraduate Physics majors, 50 students in the pre-engineering program and 105 doctoral students.
Position Summary
The purpose of this position is to manage the financial, administrative, academic, research operations, and facility maintenance of the physics department.

The Business Manager is responsible for the fiscal management of the academic program budget (in collaboration with the CAS Dean's Office), start-up monies, professional development funds, foundation funds, research funds, as well as a sponsored programs portfolio.

This position is responsible for the daily operations of the department, including academic program services, payroll, accounting, and fiscal management as stated above.

This position supervises the Physics department staff (four SEIU classified employees): education programs coordinator, accounting technician, department program assistant, and grant coordinator. Supervision duties include hiring, assigning and monitoring work, training, evaluating performance, and handling disciplinary issues and grievances.

This position interacts regularly with Physics faculty, graduate and undergraduate students; CAS Dean's Office staff, colleagues in other academic departments, and staff in UO administrative units.

This position manages and inspects a 135,000 sq. ft. facility for maintenance or repairs needed, coordinates work with Campus Planning and Facilities Management to prevent delays or inconvenience to users of university spaces, reports any contract discrepancies noted (e.g., contractors not meeting established performance standards, improper job performance practices, non-performance of contracted tasks or other violations of the contract), and develops strategies (in collaboration with the department head) to maximize space utilization.

This position has decision-making authority in collaboration with the Physics Department Head in the areas of internal controls, Physics policy and procedure, business and financial transactions, administrative issues, and Physics department HR-related issues. All decisions must be made in accordance with CAS and UO policy.

As CAS implements a shared services structure over the next 6-12 months, the duties, structure, and organizational placement of this position will change significantly. This position description describes the current state of the position, prior to any reorganization.
Minimum Requirements
  • Bachelor's degree from an accredited institution; OR three years of experience in supervision or lead work with five years of experience managing budgets for a program, department, agency, or business and experience managing an office.
  • Two years of experience in supervision or lead work.
  • Four years of experience managing budgets for a program, department, agency, or business.

    Preferred Qualifications
  • Experience managing an office.
  • Experience administering and managing budgets in a higher education or science industry setting.
  • Experience administering federal grants.
  • Three or more years of experience in office/administrative staff supervision in a grants and/or financial administrative setting in higher education or relevant research-based entity.
