Position Summary:
The Senior OnBase Administrator position provides enterprise applications and ad hoc records research to Employee Services which supports all four University of Colorado campuses. This position is focused on assisting with designing solutions to increase efficiency and being a subject matter expert resource of the OnBase development team.
This position includes project development, system administration, ongoing support, technical design such as building, delivery, and maintaining various applications for records management, and information governance. This position understands customers' business processes along with understanding all of CU employee types (student, temps, retirees, university staff, classified, and faculty) and contractors. The primary customers are the following department/teams: Employee Services (payroll, benefits, international tax, business operations), System Human Resources, CU Board of Regents, and the CU Health and Wellness Trust department.
The Senior OnBase Administrator coordinates project intake and readiness with Employee Services and partner teams, helping determine when projects are prepared to begin development and ensuring appropriate prioritization and resource allocation. This position assigns projects and development tasks to other OnBase developers and provides guidance, mentorship, and support throughout the development lifecycle.
The Senior OnBase Administrator also supports team members with development troubleshooting, project coordination, and business analysis activities when needed. This role works closely with team, department, or campus partners to evaluate requirements, clarify business processes, and ensure solutions align with organizational needs and best practices.
Additionally, this position proactively identifies opportunities to enhance and optimize existing OnBase solutions by recommending improvements, automation opportunities, and efficiency gains across current workflows and applications. The Senior OnBase Administrator helps ensure consistency in development standards, promotes collaboration across teams, and supports continuous improvement of OnBase services provided to the university.
This position reports to the Systems Administration Manager and is exempt from the State of Colorado Classified Staff System.
Duties and responsibilities of the position include, but are not limited to:
OnBase Administrator:
- Apply information governance standards and utilize standardized processes to ensure content integrity that focuses on structure, policies, and procedures.
- Develop records management automated applications to create efficiencies for customers.
- Develop dashboards and reports that support the application.
- Create presentations or sample content to share insights and actionable recommendations in a concise manner with customers and/or key partners.
- Provide technical support for selected teams that arise from operational tasks and projects associated with the Employee Services goals and initiatives.
- Train end users on the final product along with creating and maintaining technical business process documentation.
- Analyze functional and/or technical processes.
- Assisting University Information Systems (UIS) department in thoroughly testing application patches and upgrades in configuration, thick client, studio, unity time management console, and unity client.
- Liaising with UIS for integrations with other University systems.
- Manage 1-2 Business Process Automation projects for Employee Services for all phases of the project lifecycle.
- Assist with project plan development and follow the defined methodology for the initiation, planning, execution and closing phases.
- To meet each unique customer's needs, this role may be involved in making changes to current technology, implementing new technology, overseeing security access roles for the technology, and researching new technological solutions, as well as seeing each project through to implementation.
- This position may also be required to provide other types of technological support to assist in our mission of helping employees succeed.
- Collaborate with campus constituents and participate in Hyland training to learn new ideas and products to our customers.
Project Coordination and Customer Support:
- Coordinate intake and readiness of new OnBase projects by working with Employee Services teams and other stakeholders to determine project scope, priorities, and readiness for development.
- Provide technical guidance to OnBase developers by offering input on solution design, development approaches, troubleshooting, and best practices.
- Support team members with development assistance, project management coordination, or business analysis support as needed to ensure successful project delivery.
- Collaborate with cross-functional teams within Employee Services and University Information Systems to ensure solutions align with enterprise standards and integration requirements.
- Identify opportunities for improvements, efficiencies, and enhancements to existing OnBase applications, workflows, and processes.
- Promote consistent development standards, documentation practices, and solution governance across the OnBase development team.
Where You Will Work:
Applicants must be Colorado residents or able to relocate to Colorado within a month of starting employment with University of Colorado System Administration.
This role is eligible to work remotely within Colorado.
Please note, leadership may adjust in-office work requirements with a minimum of three months' notice before any change can be implemented.

Salary: The anticipated hiring range has been established at $88,000-$90,000.

Qualifications:
Minimum Qualifications:
Please include all relevant experience in your resume to be accurately assessed against these qualifications. You must meet all minimum requirements at the time of application to be considered for this role.
- A bachelor's degree in computer science, management/computer information systems, computer engineering, information technology, or a directly related field from an accredited institution. A combination of education and related technical/professional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.
- Three (3) years of experience working with Hyland OnBase or similar enterprise content management systems, with experience in administration and workflow configuration.
- Certifications in:
- Hyland Certified OnBase Administrator Professional (HCOAP)
- Hyland Certified OnBase Workflow Administrator Professional (HCOWAP)
- Hyland Certified WorkView Administrator Professional (HCOWVAP)
Preferred Qualifications:
- Five (5) years' equivalent experience, as stated above, which may include at least three (3) years of experience working in higher education and:
- Experience working with PeopleSoft Campus Solutions.
- Experience working at a multi-campus university.
- Experience working in a university Administration office.
- One (1) year experience using Hylands OnBase Software, with additional OnBase certifications:
- Hyland Certified Developer Specialist (HCDS)
- Hyland Certified OnBase Administrator Expert (HCOAE)
- Hyland Certified OnBase Support Specialist (HCOSS)
- Experience with records and information management
- Experience with:
- Documenting business processes.
- Gathering requirements.
- Creating business cases and functional specifications.
- Writing test plans.
- Analyzing and troubleshooting software application issues.
- Testing software application changes.
- Experience documenting solutions for both technical and functional audiences.
- Experience troubleshooting complex issues
